Guest Agreement

Reservations: A $45 (nonrefundable) Credit card payment is due at time of making the reservation and processed before the next business day. 

ONLINE BOOKINGS: The total amount for the reservations will be charge at the time of the online booking with the Credit Card Used at the time of the booking, unless other arrangements have been made. If you want to only put the minimum deposit please specify the amount in the Special Request Box. All bookings 30 days from arrival will be paid in full at time of booking.

THE GUEST AGREEMENT, FOLIO DEPOSIT CONFIRMATION FORM, AND CREDIT CARD FORM WILL BE SENT TO YOU VIA EMAIL AND THEY MUST BE SIGNED AND RETURNED with in 7 days. PLEASE MAKE SURE ALL INFORMATION ON THE RESERVATION FORM IS CORRECT! ~

A minimum 50% (unless prior arrangements have been arranged) reservation payment is required within seven days from the time you make your reservation.

You may pay by Personal check, E-Check, MasterCard, VISA , Discover or American Express. All rates are subject to applicable Florida State and local sales tax. The balance is due 30 days before your arrival date, your credit card on file will automatically be charged unless you have elected to mail some other form of payment prior to the due date. No contract shall exist until we have received the signed forms together with a portion of the reservation. The booking terms and conditions form the sole contract between “HaveTravel-Memories Vacations LLC” (referred to as we) and the person signing the booking form, who must be over 25 years of age and who shall be deemed eligible/responsible to sign this form on behalf of all the persons herein. When making the reservation, give the total number of adults and children in your group. Each property lists the maximum occupancy—this is the maximum number of persons who may occupy the vacation property. If Booking online the full amount will be processed on the credit card provided.  Any reservation obtained under false pretense will be subject to forfeiture of payments and a possible request to vacate the premises.

Damage Protection Insurance :

As part of your stay you have purchased a The Rental Unit Damage Protection plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $1,500. Any damages that exceed $1,500 will be charged to the credit card on file compliant with your signed contract. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $1,500. Certain terms and conditions apply. Full details of the Rental Unit Damage Protection coverage are contained in the Certificate of Insurance or Insurance Policy. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Have Travel – Memories Vacations any amount payable under the terms and conditions of the Rental Unit Damage Protection.

If you choose not to participate in this plan, Have Travel Memories requires a deposit of $1000 to be mailed back with your reservation forms within 1 week to cover any potential damages, to be refunded within 21 days of check-out, provided the Rental Unit is left tidy and undamaged. You must notify us of any damage to the unit prior to checkout or you will be held responsible for any damage to the unit. A Credit card is required to be on file for coverage of damages, breakage and loss of any contents, for lost keys which necessitates changing of the locks.

NO SMOKING:

Please note that SMOKING IS NOT PERMITTED INSIDE THE PROPETIES AT ANYTIME. This keeps the vacation property odor free, and avoids trouble of the sophisticated smoke detectors being triggered by the cigarette smoke. If we discover evidence of smoking in the property, this will be taken into account when assessing your penalty fee; your cooperation is therefore requested and appreciated!

Pets:

Pets, of any kind, are not allowed in our property or on the premises with the exception of designated “Pet Friendly” properties you must call first for permission and pay the required pet fee. Please include Breed________________ and Weight_____________. You must clean-up after your pet or we will charge you a Pet clean up fee of $45.00 . If there is evidence of any kind of pet in a property where no pets are allowed or on the premises, a damage charge will be incurred, and you will be asked to board your pet. We will be pleased to recommend boarding facilities for your pet if necessary. There is a non-refundable $100 PER PET fee for each authorized pet. If you have misrepresented your pet(s) or if there is any significant damage by your pet or if there is any significant damage (by your pet(s)) at check out i.e.: scratches, urine, hair or items chewed….We will notify you and your credit card on file will be charged for repairs or replacement.

Check in/ Check Out :

The rental period begins at 4:00 p.m. on the day of arrival and terminates at 11:00 a.m. on the day of departure, unless prior arrangements have been made. Late departure will incur an extra charge. Upon your departure, please return the original key to the lock-box, leave other keys in obvious view on the kitchen counter, close all windows, and lock all doors. Checks out letters are provided inside the Concierge books located in the property. This house is professionally cleaned and inspected before and after each rental to ensure that all guests have a clean comfortable stay. Please be thoughtful of renters who may be checking in on the same day that you checkout. Occasionally delays may occur during peak season.

Cancellation:

In the event that you cancel your reservation, or we have to cancel the arrangements due to non-payment of the balance due within the time allowed, cancellation charges will be made as follows:

Cancellations must be confirmed in writing. Each reservation agreement will be treated independently. If a replacement guest can be found refunds may be up to 100%. We can reschedule your reservation to another time frame.

TO PREVENT LOSS OF RENTAL PAYMENTS WE STRONGLY RECOMMEND PURCHASING TRAVEL PROTECTION INSURANCE. Cancellations, late arrivals or early departures due to inclement weather, road or airport closings do not warrant any refund of reservation.

Disclosures /Force Majeure:

We accept no responsibility or liability for any loss or damage or alteration to the terms of your reservation caused by events beyond our control, including but not restricted to war, terrorist activity, civil commotion, flight delays, or cancellations, airport closures, loss of luggage, adverse weather conditions, fire flood, or industrial dispute. We cannot accept any liability for failure of public supplies such as water, electricity, Internet or breakdown of the air conditioning system. Nor for the consequences of the action or omissions of persons who may control or supply main services, or any actions taken in the vicinity of the property reserved, by any authority over which there is no control.

We cannot accept any liability for your personal safety during your vacation. It is particularly important that children are supervised at all times in and outside the vacation property. We can assume no responsibility for accidents. You are reminded to exercise care as to your personal safety, and the safety of your companions. Whenever possible, valuables should be left secure and out of sight.

Every effort has been made for accuracy in our brochure and any other printed or visual material; however, HaveTravel-Memories Vacations is not responsible for errors or omissions. Rates, property description and rental conditions are subject to change without notice. Seasons may vary for some properties.

Little Necessities:

For your convenience, we have supplied you with household items such as, dish washing soap, laundry detergent, paper towels, Toilet paper, bath towels and bed linens to start your vacation.

Items left behind:

HaveTravel-Memories Vacations is not responsible for lost or misplaced items. However, if notified and/or found within a reasonable time, we will be happy to ship them to you COD + a $25 handling fee.

Concierge service:

For those looking for adventure, our concierge can schedule world famous deep sea fishing charters, helicopter tours, dolphin or glass-bottom boat excursions. Rent a bike to tour famous Seaside and our other beautiful communities. For more fun on the beach, let us arrange kayaks, canoes, fishing gear or snorkel equipment. For those needing relaxation we will arrange to have you pampered with massage therapy or arrange a time for the Day Spa. Need a hair makeover, manicure, pedicure, facial, grocery deliveries or baby items, need a babysitter? Even for something simple like champagne and roses for an intimate dinner for two, we can take care of that too. Call JoDell at 406-544-8365 to highlight your vacation

Should you experience any problems whatsoever with the vacation property during your stay, please contact us at 406-544-8365 and we will do our best to rectify the matter as soon as it is practically possible. Should a problem remain unresolved, you are required to notify us in writing within 7 days of your return. No action can be taken or liability accepted for any complaints received after this period. We aim to resolve complaints within a 2-month period from receipt, the details of which will be kept confidential to only the parties involved. Please note that as Florida is a tropical State, insects such as ants and the like are occasionally inevitable, and are not cause for complaint. The vacation property is treated periodically as part of a pest and termite control program, and is cleaned after each rental.
